Project Coordinator

The Opportunity

The Project Coordinator is a key staff position in the WPTI organization providing essential administrative, operational and project management to support WPTI’s Training and Consulting Practice areas. Reporting to the Directors of both Practice areas, the person in this role will be the day to day point person responsible for ensuring that all consulting and training projects and events are well supported administratively; that WPTI provides superior customer service at all times to the community of providers, program participants and funders; and that efficient systems are in place to assist the Practice Leaders in managing, tracking and evaluating project deliverables, costs, P/L, quality, outcomes and results.

Key/Essential Responsibilities

Administrative/Operational Support

  • Provide day to day administrative support to the Directors (Practice Leaders) of the Consulting and Training Practice areas of WPTI
  • Manage all routine training logistics, including scheduling of space and trainers, room set up, copying materials, training reminders, etc.; manage the public training registration process, including maintaining the client database
  • Manage all logistics and adminstratvie tasks associated with consulting projects
  • Continually update the WPTI Client Relations Management (CRM) system with relevant updates regarding projects, grants, and contracts.
  • Create graphics, PowerPoints, and other visuals for internal and external presentation to providers, program participants and funders
  • Coordinate process for identifying and onboarding graduate and undergraduate-level interns to support the work and activities of the Consulting and Training Practice areas
  • Work with administrative/operations staff to leverage administrative resources and ensure optimal integration and coordination of resources to support all training and consulting activities
  • Provide exceptional customer service to all external and internal customers
  • Provide data to assist the Project Leaders in monitoring WPTI’s training and consulting budgets, including tracking and logging revenue and expenses

Project Coordination

  • Update and maintain a state of the art project management system and process to keep track of all project activities, deliverables, funding, expenses, consulting hours, results and other administrative processes
  • Prepare project management reports for review and follow-up by the Practice Leaders and COO
  • Assist in facilitating the engagement and on-going coordination of contracts, scheduling, assignments and deliverables with project consultants and contractors utilized in each of the Practice areas of WPTI
  • Collaborate with Administrative & Operations Manager to coordinate social media posts, press releases, promotion of events, and the production of other written collaterals and published reports
  • Assist in managing and administering all grant funded projects and initiatives
  • Assist in preparing reports to funders documenting program activities, progress toward overall program goals and budget performance
  • Contribute to the development, writing and preparation of various new funding applications, funding renewals and new initiatives

Data Management | Evaluation | Quality   

  • Assist in building an integrated data management, evaluation and quality measurement program to accurately capture the impact and results of WPTI’s consulting and training work
  • Distribute and collect pre-and post surveys with program participants to document program knowledge and results
  • Assist in the design and implementation of the continuous quality improvement system
  • Contribute to market research and information gathering in support existing and potential consulting and training initiatives
  • Assist in conducting research on policy issues and best practices in the field and remain up to date on relevant information, data and emerging trends impacting the current and future planning of programs and initiatives intersecting the areas of workforce development and economic development

Candidate Profile | Competencies | Personal Qualities

Education | Experience

  • Either a Bachelor’s Degree from an accredited college or university plus 3 year’s administrative experience supporting projects/operations for a nonprofit or public-sector organization; or a Master’s Degree plus one year administrative operations experience with a nonprofit or public-sector organization
  • A track record of assisting with the management of projects funded by foundations and/or government
  • Working knowledge of research, measurement and evaluation methods; the ability to collect data/KPI and interpret large data sets; and the ability to produce visuals and written reports/recommendations to inform decisions in line with WPTI’s consulting and training services
  • Experience working with Microsoft Office Suite, including PowerPoint and Excel; Survey Monkey and technology fluent to be able to work with automated CRM/project management software
